For Boreal located at Livange, our prominent investment holding company with a global presence and a diverse portfolio spanning multiple industries, who prides itself on strategic investments and long-term growth; we are actually seeking for an:

Administrative Operations Manager

Responsibilities and duties

· Responsible for managing day-to-day operations, overseeing and coordinating between internal and external stakeholders to ensure efficiency and compliance with deadlines.
· Responsible for managing and overseeing secretarial and administrative tasks (signature of documents, legalization, apostille, etc).
· Develop and implement internal processes and procedures and review them to ensure they remain current and effective.
· Monitor and ensure compliance with internal processes and procedures, legal and regulatory requirements.
· Monitor costs and manage organization’s budget to improve company’s profitability.
· Be the contract person for external service providers (bookkeeping, administration, legal, banks, etc).
· Review and approve invoices from external suppliers.
· Participating in meetings with executive management and other key stakeholders, providing input and advice as required.
· Assist and coordinate with administrators to complete AML/KYC/subscription documentation as required.
· Assist and coordinate with accountants and executive management to perform asset evaluations.
· Monitor capital calls from investment funds and update spreadsheet accordingly.
· Regularly review insurance policies to ensure these are renewed and valid as required across the holdings.
· Assist and coordinate with Treasury manager to ensure cash is managed efficiently across the Holdings.

Qualifications

· Bachelor’s degree in economics, business administration, management or similar.
· At least 5 years of experience in a management position, preferably in an administrative or support function. Experience in Big4 is an added advantage.
· Fluent in English and French. Other languages are added value.
· Demonstrated experience in managing a team and external providers.
· Strong communication skills, with the ability of communicating effectively with a diverse range of stakeholders.
· Excellent time management skills, with the ability to prioritise task according to urgency.
· Knowledge of office administration procedures and practices.
· Ability to handle multiple tasks according to priorities.
· Strong analytical and problem-solving skills, with the ability to think creatively and promote innovative solutions.
· Ability to handle confidential and sensitive information.
· Proficiency in the use of Microsoft Office applications.
· Ability to work independently and as part of a team of 4.
